An architectural practice may be coordinating design amendments, consultant reports and client decisions while also arranging a seemingly simple planning notice. The sign itself can be small; the administrative work around it is often not.

A repeatable handover process makes it easier for office teams to instruct an installer and retrieve evidence when the planning authority requests it.

Create one clear job record per site

The minimum useful identifiers are the property address, planning application reference, responsible authority and primary contact. A shared client name alone is not enough. An architect may be managing several properties for the same developer at once.

Attach the latest approved notice file and the authority's advertising directions. Keep earlier versions visible in the history but clearly mark the current one.

Separate approvals and physical work

The planning consultant remains responsible for interpreting and following the instructions applicable to the application. A field-service contractor can attend the site, install the supplied approved notice where instructed and document the work.

This separation is valuable when something changes. If an authority requests a revised notice, the office can authorise the new artwork while the field team handles the replacement attendance.

Agree what the completion email must contain

A useful completion message references the site and application, records the actual attendance date, and includes readable sign photographs plus wider location photographs. If there was an access issue, damaged fence or uncertainty about placement, that should be recorded rather than hidden behind a generic “Completed” status.

Build deadlines into the handover

The office should be able to identify the authority's required date, requested attendance date, evidence review date and possible removal milestone. They are not necessarily interchangeable.

For practices handling several projects, a weekly list of outstanding site notices may be more useful than dozens of individual email reminders.
