A request to advertise a planning application can involve more than one communication channel. A site sign, a newspaper notice and letters to nearby owners or occupiers are not interchangeable simply because they all inform the public.

The responsible authority specifies the method or combination of methods required for the application.

An on-site notice reaches people at the property

A sign lets passers-by see that a planning application is being advertised for the site. Its position matters because it needs to be visible from the relevant public area. The notice itself should use the approved format and information.

Installation requires practical preparation: access, mounting, weather considerations and evidence of placement.

Letters target identified recipients

Mailed notices can reach owners or occupiers who may be affected but do not regularly walk past the site. The recipient list and dispatch process therefore matter as much as the paper itself.

Responsibility for mail-outs may remain with council, be assigned to the applicant or be shared. Always check the advertising instruction before commissioning a mailing service.

Newspaper publication has its own proof

Where newspaper publication is instructed, the publication, edition or online placement and dates need to meet that particular requirement. The person coordinating the advertisement should keep an appropriate copy or confirmation of what was actually published.

A screenshot of a draft advertisement is not evidence that a publisher ran it.

Why coordination matters

If a job requires both site installation and a publication placement, keep separate milestones. The date the sign was installed may not be the date the newspaper notice appeared, and the authority may calculate relevant dates based on the required notice process.

Use a single application reference across the tasks, but retain distinct evidence for each method.

Who should approve the text?

The applicant or authorised planning representative should ensure the content matches the responsible authority's directions. A printing or field-service contractor should not improvise statutory wording.
